Intake privacy notice

Who receives your information

The complaint and enquiry forms submit information to BITTU ICLOUD LLC, a private cybersecurity and development company. A submission is not automatically sent to the police, your bank or another company.

What the forms collect

We collect your name, email, selected region, request category and description. You can optionally include your phone number, incident date, reported loss, related business or website, and up to three evidence files. Customer accounts also store the profile details you enter, a password hash, recovery-code hash, session information, and links you create between your account and cases.

Do not submit passwords, one-time codes, full card numbers, wallet seed phrases or unrelated identity documents. Remove unnecessary personal details from evidence first.

How information is used and stored

Information is used to assess your request, organize incident details and support follow-up. Records and uploaded evidence are stored in the site’s hosted database and file storage. Authorized staff can review them. Hosting infrastructure processes this information to operate the service and may involve processing outside your country.

Case tracking requires both your random reference and private access code. A customer account can link a case only when its email, reference, and access code match. The portal shows case status, public updates, and evidence count; it does not expose private staff notes or evidence contents. Keep access and recovery codes private. No advertising trackers or marketing mailing-list subscription are included.

Security and access

Passwords, recovery codes, and case access codes are stored as cryptographic hashes. Customer and staff sessions use separate signed, HTTP-only cookies. Staff access requires an approved company account. Uploaded evidence is served only through staff-authorized download requests. A hashed network identifier and hourly request counters help limit automated abuse; raw IP addresses are not saved by the application’s intake database. Hosting providers may keep their own operational logs. No internet service can promise absolute security.

Retention and privacy requests

Submissions and customer accounts remain in the system until reviewed and removed by the company; this version does not automatically delete records on a fixed schedule. You may request access, correction, or deletion through the enquiry form by choosing “Privacy request.”, or by emailing support@bittuicloud.com from the address on your account. Include your case reference, but do not include your private access code. Staff may need to verify that you are the account or case owner, and will confirm once your account and associated data have been deleted.

Submission and account creation are voluntary. If you prefer not to share information with a private company, use the official reporting resources linked on our homepage.
